[*] Scope of Service:
(1) Vendor needs to provide telephone answering services.
- Answering service duties include answering forwarded telephone lines, gathering and compiling detailed information on nature of calls, contacting appropriate commission personnel and contractors.
- Shall maintain records, logs, and schedules as appropriate and shall provide to the commission, by the next business day, daily emailed printouts to all property management staff designated by the commission, detailing the nature and substance of all calls received and all corresponding action taken.
- Shall receive calls from the residents requesting assistance and in cases of emergency shall dispatch the appropriate service provider.
- Shall use the telephone screening criteria and carefully question all callers to determine the type, seriousness, and location of repair and then contact or dispatch appropriate services.
- Shall provide all answering services utilizing a live operator.
- Provide answering services before and after business hours, on weekends, on all holidays observed by the commission and during business hours for limited periods due to Staff or operational needs.
- Business hours are generally 7:00 a.m. to 5:00 p.m.
(2) All questions must be submitted no later than September 18, 2023.
(3) The contract term will be one years.
