[B] Scope of Service:
(1) Vendor needs to provide after-hours physician office answering services for patients seeking to speak with Broward Health after-hours on-call medical providers.
- all personnel handling calls must receive training in HIPAA compliance. Messages must be recorded accurately and thoroughly.
- Calls are expected to be screened and determined to be routine or emergent
- For Urgent/Emergent calls, Physicians are to be paged, with follow-up calls to be made if the call-back exceeds reasonable call-back time expectation.
- Identify the site being called by the after-hours caller (each site utilizes a different telephone number)
- Answer calls within five (5) minutes
- Provide a mobile application to retrieve messages
- Have sufficient back-up capability to avoid any interruption in after-hours telephone answering coverage in the event of vendor’s equipment failure or other unforeseen circumstance.
- Provide 24-hour availability of live operator with language interpreter capability per request and the ability to communicate with deaf and hard of hearing patients.
- Monthly call reports will be sent to Broward Health within five (5) business days of the close of the previous month detailing dates and time of calls, caller names, caller dates-of-birth, nature of each call, and on-call provider contacted.
(2) All questions must be submitted no later than December 14, 2022.
