[B] Scope of Service:

(1) Vendor needs to provide 24 X 7 call answering services.
- Live Answer
- Message receipt and transcription to electronic format as required
- Call forward to appropriate secondary number as required
- Call distribution to on-call pager number as required
- Call records and on-call scheduling management
- Prompt answer, once calls are forwarded to them (Less than 5 rings)
- HIPAA Compliant in all aspects of services provided
- Ability to send messages (both numeric and text) to pager, cellular phone and the ability to call the provider with the message if necessary.
- Accurate information is given to the residents for call-back
- The operator will offer to patch through to the patient caller
- The timing is good with the page to the resident being close in time with the receipt of patient call
- Upon return call from doctor, ability of answering service to patch doctors through to patients rather instantly, without being put on hold for several minutes
- The option of a repeat page of resident in 10-15 minutes after initial page would be helpful. Residents are sometimes busy with duties that do now allow immediate call-back. A reminder page would be helpful.
- Calls recorded and kept in a secure location to ensure HIPAA compliancy and customer satisfaction.
- Work quickly to resolve any issues that arise.
- Send (via fax or email) a daily call log of the messages taken from patients
- Availability of Spanish speaking operators, per Medicaid requirements. Additional languages can also be a great enhancement, as many of our patients do not speak English as their primary language.
(2) All questions must be submitted no later than June 11, 2020.
