[B] Scope of Service:

(1) Vendor needs to provide Catalog and Curriculum Tracking Software Provide and support integrated academic catalog and curriculum management tool(s) that enable easily configurable, complex, and dynamic workflows for changes to curriculum and catalogs and the presentation of approved curriculum in academic catalog format.
1. Forms that are easily customizable, dynamic and adjust based on information provided, and can address unique needs of different types of curriculum and content – courses, plans, programs, narrative descriptions, policies and procedures, and narrative text.
2. Proposal forms that look familiar (closer to final, consumable version)
3. Dynamic forms that show/hide additional fields based on input of other fields.
4. Ability to import existing information from academic catalog and Peoplesoft into form.
5. Ability to create and edit policy information in similar manner as courses and plans.
Workflow
1. Easily configurable workflow that is dynamically adjusted based on content owner and requirements of department (curriculum team) or college (committees).
2. Ability to create new or modify existing workflows during a curriculum cycle with changes impacting new proposals only.
3. Ability to create and reassign workflow steps to individuals, groups of individuals, a committee, or committees.
4. Ability to reassign roles on current or future steps without impacting prior, completed steps.
5. Ability for conditional steps to be triggered based on a variety of factors in the proposal.
Form and Workflow Features
1. Ability to attach documents to proposal and edit attached documents to proposal and save changes without needing to reattach.
2. Audit trails for all changes to existing information during all phases of proposal development and approval.
3. History of all changes/proposals that are easily retrieved and reviewable.
4. Clear display of steps in workflow including participation in each step.
5. Ability to create customizable email notification, deadlines and reminders
System Control/Reporting
1. Ability for institution support to access and assist with any proposal on any step of workflow at any stage, including active, tabled, or completed, to make changes to proposal data and/or change/reassign step and comment about changes.
2. Ability to indefinitely archive proposals that are completed, whether regardless of final decision, in a manner consistent with the applicable curriculum review cycle, and include all comments, decisions, workflow, changes to workflow and attachments.
3. Ability to create customizable reports in CSV and XML formats for global, item type and specific proposal information, including but not limited to field data, progress, status, role assignment, etc.
4. Ability to retrieve a report of all changes (course, program, policy) for a particular rubric/subject (such as MATH), course, or program.
5. Ability to retrieve a report and access communications generated by automated emails.
(2) A WebEx pre-proposal meeting will be held on December 5,2019.
