[B] Scope of Service:

(1) Vendor needs to provide microsoft calling plans and microsoft teams implementation support services system that supports CCO’s telephone lines, used to connect internally and externally, is almost 13 years old and has reached the end of useful life and is at risk of complete failure due to its age. The system includes the telephone lines that are used by CCO’s Call Centers and Help Desk and external callers. It supports four core functions:
- Land phones (Nortel Phones),
- Fax line
- Digital telephony (Skype)
- The organization’s main switchboard at the Reception at 620 University Avenue
- IT Operations does not currently have the internal skills set to maintain this legacy telephone system and enabling continuous phone service supply has become increasingly challenging creating a risk for our business.
- The original architecture was designed for employees in a centrally located office. This does not currently work well for remote and mobile environment and is incompatible with our Work from Home model. Also, as CCO incorporates more and more digital communication solutions into its telephony infrastructure such as Skype for Business, interoperability challenges is emerging as on premise PBX do not smoothly integrate with cloud based solutions.
- CCO has commenced a project to utilize CCO’s E5 license to move our phone system from on premise PBX and Skype for Business to O365 Cloud PBX/MS Teams. This process could be fast tracked with the help of external expertise given the technology is still relatively new.
- Microsoft Calling Plans Licences
- The services of an O365 - Microsoft Teams Implementation Partner for IT solution delivery services. The implementation partner would help primarily with execution activities.
- Porting Number Plan
- Smooth Transition of Key Numbers
- Transition plan for key numbers (Helpdesk etc.)
- Communication Plan for stakeholders
- Executives and Executive Assistants
- Providing Matching Functionality for the below:
- Delegation
- Call Transfer
- Executive’s call & voicemail monitoring by executive assistant
- Able to match what our current auto attendant functionality
- Voice Menu Options and Configuration
- Recording of Professional Voice Implementation: English and French
- Directory Search
- Each of the identified configuration needs to be in working condition for selected pilot users and devices.  CCO does not expect the vendor to complete the full migration, we expect the vendor to provide initial configuration deployment and pass it over to CCO where we will take on the remainder to complete.  This will take on a form of ongoing knowledge transfer that occurs during hands-on configuration
- Voice Menu Options and Configuration: Recording of Professional Voice Implementation: English and French.
- Additional documentation and support (e.g., user manuals, online help, interactive demos, web-based seminars, online knowledge base etc.) should be available to Solution Administrators and Functional users
(2) All question must be submitted no later than June 19, 2019.
(3) The contract term will be for one years.
